Productivity is both complex and simple at the same time. That's why I've created this free guide to help you view productivity from a holistic perspective and effectively assess your development journey.​

If I had to start from scratch and create an effective productivity system, here are the main steps I would take, in this order. 

Level 1: Personal Organization

  • Organization System: a structured framework designed to manage tasks, time, and resources efficiently. 

    • Agenda: Get an electronic agenda to organizes tasks, schedules, and priorities efficiently.

    • To-Do List: Organizes and prioritizes tasks for efficient completion. Usually, the To-Do list is part of the electronic agenda.

    • Note-Taking system: Ensures organized, accessible, and clear information retention. This could be systems such as Evernote, Notion, Obsidian, etc. 

    • Email Management: Organizes, prioritizes, and streamlines email communication.​ Common systems are Outlook, Gmail, Mail (Apple), etc.

    • Photo Management: Organizing, storing, and accessing digital photos efficiently and securely. I personally use Google Photos for this task.

  • Work Environment Organization: Arranging and maintaining your physical and digital workspace to optimize productivity, efficiency, and comfort.

    • Decluttering: Keep your workspace tidy and free of unnecessary items to reduce distractions. Consider adding a plant (fake or living) on your desktop to stimulation your creativity. 

    • ​Ergonomic Setup: Ensure your workspace is ergonomically designed to prevent strain and improve comfort.

Level 2: Time Management

  • Define Goals

    • Purpose: Establishing clear, specific goals and objectives provides direction and motivation. You have to figure out what is your "Big Why".

    • SMART Goals: Ensure goals are Specific, Measurable, Achievable, Relevant, and Time-bound.​

  • Set Priorities

    • Prioritization: Use techniques like the Eisenhower Matrix to prioritize tasks based on urgency and importance. I also use frequently the Pareto Law (80/20) to sort things out. 

    • Time Blocking: Allocate specific time slots for different activities to ensure focused work periods. Pro tip: Use your highest energy time to combine with Time Blocking to deliver high impact results. 

  • Establish Good Habits and Routines: Establishing and maintaining good routines and habits can lead to increased productivity, reduced stress, and a more balanced lifestyle.

    • Daily Routine: Establish a consistent daily routine to create structure and predictability.  

    • Productive Habits: Develop habits like regular exercise, healthy eating, and sufficient sleep to maintain high energy levels.

    • Regular Review: Periodically review and adjust your routines and habits to ensure they continue to support your goals.

Level 3: Energy Management

  • Physical Energy: Optimizing sleep, nutrition, and exercise to maintain high energy levels.

    • Sleep: Essential for restoring energy, improving focus, and overall health.

    • Nutrition: Fueling your body with essential nutrients for optimal health.

    • Physical Activities: Exercise routines to boost health, energy, and overall well-being.

  • Inner Energy Management: Balancing spiritual, emotional, and mental well-being for sustained energy.

    • Spiritual: Connecting with purpose and meaning for inner peace and strength.

    • Emotional: Managing emotions to maintain motivation, resilience, and positive relationships.

    • Mental: Optimizing focus, clarity, and cognitive function for peak performance.

Level 4: Continous Improvement

  • Reflection: Regularly reflect on what’s working and what isn’t to identify areas for improvement.

  • Flexibility: Be willing to adapt and change systems as needed to enhance productivity and efficiency. 

  • Learning: Invest in continuous learning and development to keep skills and knowledge up to date.

Level 5: Automation

  • Leveraging artificial intelligence: Automates complex tasks for efficiency.

  • Task Scheduling: Use calendar apps to automatically schedule and remind you of recurring tasks and appointments.

  • Email Automation: Set up filters and rules to automatically sort and categorize incoming emails.

  • Financial Automation: Set up automatic bill payments and expense tracking.

  • Reporting and Analytics: Use business intelligence tools to automatically generate reports and dashboards.

  • Smart Lighting: Use smart bulbs or smart plugs to schedule lights to turn on and off at specific times

  • Geofencing: Use smartphone integration to ensure your home is comfortable when you arrive without wasting energy when you’re away.

As you can see, productivity has many dimensions, from time management and organization to energy optimization. Yet, there's always room for growth. Rest assured: you don't need to apply everything on this list to be productive. In fact, just improving one aspect of this list is a great step forward in your productivity. The combination of using the right tools and adopting a proactive attitude will lead to the most significant improvements in your daily life.
